Corporate events take months of planning and a serious budget. The photos are what’s left afterward, for your website, your socials, your sponsors and next year’s promotion. Here’s how to make sure they’re worth it.
Share the purpose, not just the schedule
Before the event, tell your photographer what the photos are for. Are they for sponsor recaps, recruiting, an annual report, social media? The answer changes what gets prioritized. For a sponsor heavy conference, booths and logos matter. For a team celebration, candid moments matter more.
Build a short shot list
Keep it focused on the things you’ll regret missing:
- key speakers and panels, with the stage and the audience
- VIPs, award winners and sponsors
- group photos you know you’ll need, scheduled at a set time
- signage, decor and the details your team worked hard on
- candid networking, laughter and the general buzz of the room
Send the run of show
The run of show tells your photographer where to be and when. Flag the moments that only happen once, like a ribbon cutting, an award announcement or a toast.
Plan for same day content
If you want to post during the event, say so in advance. I can deliver a handful of edited images the same day, or even during the event, so your social team isn’t waiting.
Ask about delivery and licensing up front
Know when you’ll get the full set and what you can do with it. My event clients get all the best images, colour and exposure corrected, in web ready and high resolution versions, within 24 to 72 hours.
Add a headshot booth
A conference headshot booth is one of the easiest wins at any event. Attendees love it, and it’s an efficient way to update staff headshots while everyone is in one place.
Pick someone who blends in
The best event photos happen when people forget the camera is there. Choose a photographer who works quietly and professionally, and who has shot events like yours before.
